Well, JAE is fast approaching. The Annual Club Reps meeting is on 25th April. Unfortunately, as I am moving house the day before, I am not going to be able to attend, but luckily BMR has agreed to go in my place to represent the club.

This meeting is primarily a chance for the organisers to share information about what is going on at the event, but it is also a chance for us to ask any questions we might have.

So, I'll get the ball rolling with some questions that I have been asked already and have answers for. If you have anything you would like to know before the event, please add your question in this thread and we will compile a list for Brian (BMR) to ask at the reps meeting.

1/ Are dogs allowed? - YES
2/ Can we use caravans on the plots? - NO (needs double checking, but pretty certain this is correct)
3/ Are we able to use our vehicles as campers to sleep in for the duration? - YES
4/ What are the rules regarding smoking at the venue? - Anywhere open but there will be our own club rules on the club pitches
 
I know you have two pitches(total of 24 vehicles) for the club members, but do we have another space for our tents or do we have to book this on top of the pitches? I have a drive away awning which I would like to leave on camp site when I'm at the club pitch, but take van back to campsite and attach to awning for the evening as I will be sleeping in van overnight.
 
Last time i did this there was an area where we would camp each night and then drive to and fro from club stand..not sure if that format has changed
 
Each pitch is designed for 12 vehicles PLUS associated camping for those vehicles.

All I know is that the camp should be set up so far away from the main stand. This is obviously geared up for those who's cars are not integral to their camping. The cars will be set up on the stand and left for the duration of the show and the camping set up behind.

In our case, as the vehicles are going to be integral to the camping as well it might be that the awnings etc form part of the show stand as well as the camp site. This is something that needs bringing up at the reps meeting.

Karl are we all meeting up there or somwhere a few miles away then convoying in?
I will ask when the gates open and when the show shuts down so we have an idea of traveling times and what entrance to use
and even if we cant have a caravan on the club stand is there an area where we can park up caravans somewhere on site or nearby?
 
I reckon for all those meeting on the Thursday, we should meet somewhere local at a set time and then convoy to the show together. It'll look awesome travelling in a convoy of Elgrand's knowing there isn't another Elgrand club attending :)

Yes that's a good idea. I remember one year at NBO when I came with UKLegacy there, we all met before and drove together to the field and as much it was always Subaru meet (There were always different clubs invited even Evo's few times) Legacy's were always bit 'other' not known cars there and this was very good feeling coming all together. So I think a convoy of Elgrand's would look very cool. :cool: :cool:
 
Right Guys heres some info from todays JAE Club Rep Meeting on site at the Newark Showground.
I will try to get some order to the questions raised both on here and via facebook, obviously there will be further points but I am sure we can get answers for any of them before the event.

1)- ARE DOGS ALLOWED. Yes there is no restrictions on dogs.
2)- CAN WE USE CARAVANS ON THE PLOTS. Yes we can but the organisers would prefer to have the caravans sited a couple of hundred yards away on hard standing, electric will be supplied to the show plots (to be organised by the club on the JAE website) but no power will be supplied to the hard standing for caravans. We will need to know how many caravans are being taken to make a club decision.
3)- SLEEPING IN THE ELGRANDS. Yes there are no restrictions as to where you want your bed to be, If you want to sleep in your truck on the show stand thats ok, if you want to put your awning up fixed to your truck on the show stand thats ok, if you want to put your awning up at the back of the show stand and move your truck back to your awning to sleep thats also ok.
4)- RULES REGARDING SMOKING. Normal law of the land rules apply, as the show is outside you can smoke but not in the bars, resturant areas or inside show and display areas.
5)- LATE ARRIVALS OR EXHIBITORS ONLY SHOWING ON CERTAIN DAYS. For these "part time" show attenders, there are no restrictions on driving about the show ground but we will have to put some thought into how we organise our stand to make access easy for vehicles to be moved and yet put a good display on. Note none of the roads in the Newark Showground are one way so be careful.
6)- FACILITIES. We have been told that besides the fixed toilets built on site of which there are quite a few there will be portaloos also on site, There are showers aprox 200 mtr away in the exhibition hall toilets I didnt want to get arrested so I cant say how many there are in the ladies but there are 6 in the gents toilet area. Electric will be laid onto the show stand areas but we will have to make sure we have enough insulated extensions to run the power to where its needed. Waste facilities are 200 mtr away next to the exhibition hall along with 2 dog washing points for any of us with mucky dogs.
7)- BBQs. BBQs are allowed, normal common sense applys, place disposible BBQs off the floor on something heat proof (breeze block is perfect for this), Do not BBQ in tents, awnings or caravans and keep them away from any vehicles. On the subject of socialising at night the bar is open till 2am but the organisers would like to see groups that socialise near their tents and caravans dispersing by midnight as people with children need to get them off to sleep, I can understand this.
8)- EARLIEST ARIVAL TIME. The show site will be open for us to drive in at 12 midday on Thursday.
9)- SUNDAY SHOW CLOSING TIME. This has been set at 1600 hrs (4.00pm) All vehicles and equipment must be removed by sunday night and there is NO CAMPING ON SITE SUNDAY EVENING for anyone wanting to stay over.
10)- ON ARRIVAL. We will be using the entrance directly opposite the Air Museum so look out for a Vulcan bomber and you know you have the right entrance, we will then have to sign in at the admin office that is up the ramp behind the exhibition hall.

The general feeling was that if we use common sense then all should be ok as the organisers want us all to enjoy it and return again.

No problem Karl, I also got a free bacon cob and a coffee when I turned up, just a little note I think we have to check the JAE website about the power feed to the show stand if we already havnt done already.
